1. Who this policy covers

This policy applies to WOEMA Natural Animal Products and personal information handled in connection with this website, enquiries, orders and customer service. We aim to process information lawfully and fairly under the Protection of Personal Information Act 4 of 2013 (POPIA).

2. Information we handle

Information you provide may include your name, phone number, email address, delivery address, product and animal selections, quantities, delivery preferences, messages, order correspondence and proof of payment. Please do not send unnecessary sensitive information or full bank-card details.

The current website enquiry form prepares an enquiry on screen; it does not automatically send it to WOEMA. An order is only confirmed through direct correspondence with us. If you contact us by email, telephone or WhatsApp, we receive the information you share through that channel.

Website hosting and communication providers may process technical information such as an IP address, browser details and security logs to deliver and protect their services.

3. Why we use your information

  • To respond to enquiries, give product guidance and confirm orders.
  • To issue invoices, check payment, arrange delivery and handle returns.
  • To maintain records required by law, resolve disputes and prevent fraud.

We only seek information reasonably needed for these purposes. Processing may be necessary for steps you request before a contract, performance of a contract, legal obligations, legitimate interests balanced against your rights, or your consent where required. Required contact and delivery details are needed to fulfil an order; optional messages are voluntary.

4. Sharing and service providers

We do not sell your personal information. Relevant information may be shared with the delivery service you choose, banks for payment verification, communication or hosting providers, and professional advisers or authorities where lawful and necessary. Service providers handling information on our behalf must protect it and use it only for authorised purposes.

WhatsApp and other external services have their own privacy policies. Where information is transferred outside South Africa, appropriate protection must be ensured in accordance with section 72 of POPIA.

5. Security and retention

We take reasonable organisational and technical steps appropriate to the information and risks, including limiting access and taking care with payment records. No internet transmission or storage method is completely secure. Where a security compromise occurs, we will notify the Information Regulator and affected individuals as required by POPIA.

We keep information only for as long as needed for its purpose, legally required recordkeeping or a lawful reason such as resolving a dispute. Information no longer needed will be deleted, destroyed or de-identified securely.

6. Marketing and website technology

An enquiry or purchase is not automatic consent to electronic marketing. We will seek consent where required; the limited existing-customer exception under POPIA may apply to our own similar products, with an opportunity to opt out when details are collected and in every marketing message. You can object or withdraw consent at any time, without affecting earlier lawful processing.

Essential website technology may be used to make the site function securely. This policy does not authorise advertising or tracking cookies. If non-essential tracking is introduced, appropriate information and choices will be provided.

7. Your rights and complaints

Subject to POPIA and applicable exceptions, you may request confirmation of whether we hold your information, access to it, correction, or deletion of information that is inaccurate, excessive, outdated or unlawfully held. You may object to qualifying processing, withdraw consent and complain. We may need to verify your identity; lawful retention requirements may limit deletion and any permitted access fee will be explained.
